1) Role of Itinova LLC

ITINOVA LLC provides travel planning and curation services. Depending on the package selected, ITINOVA may also assist with booking coordination.

ITINOVA acts solely as an agent for third-party suppliers (including but not limited to hotels, airlines, transportation providers, tour operators, restaurants, venues, guides, and activity operators). ITINOVA does not own, operate, or control these suppliers and is not responsible for their acts or omissions.

Not insurance / no guarantee: We are not a travel insurance provider, and we do not guarantee availability, pricing, or supplier performance.

2) Packages & Deliverables

ITINOVA offers three service packages: The Edit, The Curation, and The Signature (each, a “Service Package”).

Deliverables may include, depending on your Service Package, curated recommendations, an experience menu, booking guidance, and a final itinerary. Deliverables are delivered via a password-protected page unless otherwise stated in writing.

3) Client Responsibilities: Accuracy, Monitoring & Travel Readiness

You are responsible for providing accurate traveler information (legal names as shown on government ID, dates of birth, passport details where applicable, and any special requests). You are responsible for reviewing confirmations promptly and notifying ITINOVA of errors immediately.

Flights & check-in: From the moment booking codes and confirmations are provided, you are responsible for monitoring flight schedules, check-in requirements, airline notifications, and any schedule changes.

Passports, visas, permits, and entry rules: You are solely responsible for ensuring you meet all passport validity, visa, transit, vaccination/health, and entry requirements for every destination and any countries transited en route. Requirements change frequently and without notice.

4) Booking & Approvals (Signature Package Only)

Only The Signature includes booking coordination by ITINOVA (unless otherwise agreed in writing).

All charges must be approved by the client prior to booking. You acknowledge that availability and pricing can change between research and booking.

5) Supplier Terms: Hotels, Transportation, Tours, Dining, Events

Supplier rules apply to each reservation and may include deposits, minimum spends, time limits, dress codes, capacity restrictions, and cancellation windows. These policies may be stricter during peak season, holidays, and special events. You agree to comply with all supplier terms.

Failure to use any reservation may result in automatic cancellation of continuing or return arrangements, where applicable.

6) Fees, Payment, and Processing Fee

ITINOVA charges professional service fees for planning, research, itinerary design, and coordination (“Service Fees”).


Service Fees do not include and do not apply toward the cost of travel, including but not limited to airfare, hotels, transportation, tours, activities, dining, insurance, taxes, resort fees, gratuities, or supplier charges. Travel costs are separate and are paid directly to Fora and/or third-party suppliers pursuant to the booking terms provided.

Refundability: Service fees are refundable only as described in your selected package terms and/or invoice (the “Fee Policy”). If there is a conflict between these Terms & Conditions and your package terms/invoice, the package terms/invoice controls.

Credit card processing fee: A 5% credit card processing fee applies to ITINOVA Service Fees paid by card (unless otherwise stated in writing). Travel bookings are paid separately through Fora and/or suppliers and may be subject to their processing terms.

7) Rush Requests & After-Hours Support

ITINOVA standard business hours are 8:00 AM – 6:00 PM Eastern.

For requests outside business hours (outside of actual travel dates), weekend work, or rush turnarounds, an additional fee applies equal to 15% of the total cost (as defined in your invoice/statement of work). If a rush/after-hours fee applies, it will be disclosed prior to work beginning.

8) Cancellations, Changes & Refunds

All changes and cancellations must be requested in writing. Refunds, credits, and penalties are governed by the applicable supplier’s terms.

ITINOVA is not responsible for supplier penalty amounts, fare changes, or nonrefundable components imposed by suppliers.

Because Service Fees reflect professional services rendered, initiating a chargeback after services have been performed is a breach of these Terms. We reserve the right to provide documentation of work performed and communications to contest disputed charges.

9) Travel Insurance (Strongly Recommended)

We strongly recommend purchasing travel insurance, including coverage for trip cancellation/interruption, medical expenses, evacuation, and baggage.

You acknowledge that ITINOVA is not responsible for losses that travel insurance would typically cover if you decline to purchase coverage or if your policy does not cover your specific circumstance. Insurance policies vary widely and may include exclusions and limitations.

10) Disclaimer of Liability / Assumption of Risk

Travel involves inherent risks. ITIONOVA is not liable for losses, damages, delays, injuries, or additional expenses arising from: supplier acts/omissions; airline cancellations or delays; weather; mechanical issues; illness; government actions; labor disputes; civil unrest; criminal acts; or any events beyond ITINOVA’s control.

By using any itinerary, recommendations, confirmations, or reservations provided by ITINOVA, you voluntarily assume the risks associated with travel.

11) Affiliate Links & Supplier Commissions (Disclosure)

ITINOVA may include affiliate links on our website and within planning materials. If you purchase through an affiliate link, ITINOVA may earn a commission at no additional cost to you.

ITINOVA may also receive commissions or incentives from travel suppliers (such as hotels, tour operators, or other partners) in connection with bookings. Compensation does not guarantee availability and does not change the supplier’s own terms.

12) Intellectual Property

All itineraries, curated guides, recommendations, and documents prepared by ITINOVA are for the client’s personal use only and may not be reproduced, distributed, sold, or published without written permission.

13) Privacy & Data Handling

Your trip details and personal information are handled with care and used only for travel planning and coordination. We do not sell personal data. If you are not the intended recipient of an ITINOVA communication, please delete it and notify the sender.

Information may be retained for operational, legal, and record-keeping purposes consistent with standard business practices.

14) Governing Law & Venue

These Terms & Conditions are governed by the laws of the State of Florida. The parties agree that any dispute or claim shall be brought exclusively in the state or federal courts located in Miami-Dade County, Florida, and each party consents to jurisdiction and venue there.

Fora Travel Affiliation & Booking Terms

1) Relationship to Fora Travel

ITINOVA (“Company,” “we,” “us”) provides travel planning and itinerary curation services and operates as an independent affiliate of Fora Travel, Inc. (“Fora”), a host travel agency and Virtuoso® partner. While ITINOVA is your primary point of contact for planning and curation, Fora acts as the booking agency of record for travel reservations that we arrange.

2) Secure Links, Forms, and Contracts

To protect your information and ensure secure processing, invoices, payment authorizations, booking forms, supplier terms, and travel-related contracts may be delivered via secure Fora links and/or Fora’s systems. By working with ITINOVA, you agree that certain trip documentation and confirmations will be issued through Fora and that you may be required to complete forms through Fora to finalize bookings.

3) Payments, Card Information, and Storage

All travel bookings arranged through ITINOVA are processed through Fora and/or the applicable travel supplier. Payment collection, card processing, and (where applicable) payment method storage are handled by Fora and/or the supplier, not ITINOVA. ITINOVA does not store or retain your full card information. You agree to provide accurate payment details through the secure links provided and authorize Fora and/or suppliers to charge the payment method you submit according to the applicable booking terms.

4) Bookings Made Through Fora

Unless otherwise stated in writing, all reservations (hotels, flights, transfers, tours, experiences, etc.) that we book on your behalf will be made through Fora and are subject to Fora’s and the supplier’s terms, conditions, and policies (including cancellation, change, refundability, and penalties). It is your responsibility to review and accept supplier terms presented during the booking process

5) Third-Party Suppliers & Perks

Travel services are provided by independent third-party suppliers. While we may be able to secure preferred amenities (e.g., upgrades, credits, breakfast, or other perks) when available, all perks are subject to availability and supplier discretion, may vary by property/rate, and are not guaranteed.

6) Client Information Sharing

To perform services and arrange travel, you authorize ITINOVA to share necessary personal information with Fora and applicable suppliers (e.g., legal names, dates of birth, passport details where needed, preferences, and contact information) solely for trip planning and booking purposes.

Disclaimer; Third-Party Suppliers; Force Majeure

ITINOVA provides planning, curation, and booking coordination services only. Travel services (including but not limited to hotels, airlines, transportation providers, tour operators, and activity vendors) are provided by independent third-party suppliers, and ITINOVA does not control their acts, omissions, or performance.

Accordingly, ITINOVA is not responsible or liable for any injury, loss, damage, accident, delay, inconvenience, cancellation, overbooking, schedule change, service failure, or other event caused by a supplier or arising from your travel arrangements, including circumstances beyond our reasonable control (“force majeure”) such as weather, natural disasters, labor disruptions, government actions, public health events, terrorism, civil unrest, or mechanical/technical failures.

All bookings are subject to the terms, conditions, refund policies, and cancellation/change penalties of Fora Travel and the applicable supplier(s). It is your responsibility to review and accept all supplier terms presented during booking and to ensure your documentation (passport, visa, entry requirements) is valid for travel.
